What Happens After Sending RFP
Once you've configured your coverage requirements and sent an RFP to carrier representatives, here's what to expect at each stage.
1. Carriers Receive the RFP Instantly
As soon as you send an RFP, each carrier representative you selected receives an email with a secure magic link. The link takes them directly into Monark where they can see:
- The group details and census summary (no individual member data is shared)
- The plan design and coverage requirements you configured
- Any attachments you included
Carrier reps do not need a Monark account in advance — the link creates their access automatically.
2. Track Who Has Viewed and Responded
From the Quotes tab of your Proposal, you can see the real-time status of every RFP you've sent:

You don't need to follow up by email to know where things stand — status updates in real time.
3. Carrier Offers Come In Directly
When a carrier rep submits their offer, it appears automatically in your Monark dashboard. Offers are structured and standardized, so you can compare them side by side without reformatting spreadsheets.
You'll be able to see:
- Rates by tier (Employee Only, Employee + Spouse, Employee + Children, Family)
- Plan details and benefit summaries
- Any attachments the carrier included
- Commission structure
4. What If a Carrier Doesn't Respond in the System?
Not every carrier will submit directly through Monark. If a carrier sends you a quote outside the platform (via email, PDF, etc.), you can:
- Manually add the offer — enter rate and plan details directly
- Upload a quote file — Monark's AI can extract and populate fields from carrier PDFs or Excel files
This means your side-by-side comparison stays complete regardless of how carriers respond.
5. Building Your Proposal
Once offers are in — whether submitted by carriers or added manually — you select the plans to include in the employer proposal and move to the Building Proposals step.
Tips
- Send to multiple carriers at once — each rep gets their own link and submits independently
- Set a mental deadline — Monark doesn't enforce response deadlines, but you can note expected turnaround in your RFP notes or attachments
- Follow up outside Monark if needed — a quick call or email to a carrier contact can accelerate response times for key markets
- Offers are locked once submitted — if a carrier needs to revise, they must contact you to request a new submission
