This guide answers common questions across all MonarkHQ users, including brokers, carrier representatives, and employers.

General Platform Questions
What is MonarkHQ?
MonarkHQ is a benefits workflow platform that connects:
- Brokers who configure coverage, send RFPs, and build proposals
- Carrier representatives who receive RFPs and submit offers
- Employers who review proposals and select benefits
Each user sees a role-specific experience.
Do I need a MonarkHQ account?
- Brokers: Yes. Brokers create accounts and manage organizations.
- Carrier reps: No manual signup required. Your account is created automatically when you click an RFP magic link.
- Employers: No account required. You access proposals via secure links sent by your broker.
How does login work?
MonarkHQ uses passwordless authentication:
- Secure email-based magic links
- No passwords to create or remember
- Links are time-limited and encrypted
Getting Started (Brokers)
Do I have to build everything from scratch to get value?
No. You can start with a single renewal group or a single deliverable (like an ERISA wrap) and expand from there.
Only required fields (marked with an asterisk) are needed to run quotes.
I’m slammed — can you help with setup?
Yes. The Monark team can help you:
- Load groups and renewals
- Upload census files
- Add carrier contacts
This lets you get value quickly without slowing down your workflow.
Is MonarkHQ replacing my AMS?
Not necessarily.
Many teams run Monark alongside their existing AMS. Adding more account details over time helps autofill documents and streamline workflows, but it’s optional.
Magic Links & Access
What is a magic link?
A magic link is a secure, single-use link sent by email that:
- Authenticates you automatically
- Grants access to a specific RFP or proposal
- Expires after a set time for security
How long do magic links last?
- Carrier RFP links: Typically expire after 1 hour
- Employer proposal links: Usually expire after 7–90 days, depending on broker settings
If a link expires, request a new one from the sender.
Is it safe to use magic links?
Yes.
- Links are encrypted and tied to your email
- They expire automatically
- No passwords are stored
- Access is logged for auditing
Do not forward magic links to others.
Quotes, RFPs & Markets (Brokers)
Can I request quotes even if instant quoting isn’t available?
Yes.
Instant quote applies to specific states and segments, but you can always send an RFP to any carrier and manage responses inside MonarkHQ.
Do you support out-of-state groups?
Yes.
- RFP workflows work nationwide
- Instant quote coverage is expanding state-by-state
What if a carrier doesn’t respond in the system?
You can:
- Manually add an offer
- Upload a quote file and let Monark auto-populate fields
- Build side-by-side comparisons regardless of carrier response method
Do you support associations (e.g., United Ag, Western Growers)?
Yes.
You can send RFPs to association-based carriers even if instant quoting isn’t available.
If a market isn’t in the directory yet, it can be added quickly.
Census Upload & Data Cleanup (Brokers)
Do I need to use a census template?
No.
Upload the census you already have. Monark automatically maps columns and cleans the file.
Will Monark handle messy exports (e.g., PACOM)?
Yes.
Handling inconsistent or poorly formatted census files is a core use case.
Can I review or edit the census after upload?
Yes.
- Review in list view or family view
- Export and re-upload if needed
- Add or edit individual members directly
Side-by-Side Comparisons & Proposals
Does Monark generate side-by-side renewal comparisons?
Yes.
As offers are received (or uploaded), Monark automatically builds side-by-side comparisons so you don’t have to manually recreate them.
Can I keep internal notes private?
Yes.
You can:
- Mark plans as recommended or alternative
- Add internal notes that employers never see
Can I show proposals live with a client?
Yes.
Client-facing views update quickly, allowing you to walk through options in real time without waiting days for revisions.
Can I control who receives an RFP or proposal?
Yes.
You can select which carrier reps and employer contacts receive each send. New sends always generate fresh magic links.
Contribution Modeling & Employee Worksheets (Brokers)
Can I model multiple contribution strategies?
Yes.
You can layer:
- Percentage contributions
- Contribution caps
- Base-plan strategies
- Different job classes
All applied simultaneously.
What do employee worksheets show?
Worksheets show employee cost, with employer contributions already factored in.
Employer total cost reporting is on the roadmap.
Does Monark calculate composite rates from age-banded rates?
Not yet.
This is planned for states where composite pricing is derived from age-banded averages.
ERISA Wraps & Benefits Guides
Can Monark generate ERISA wraps?
Yes.
ERISA wrap generation is available now.
Can I reuse or update wraps year-over-year?
Yes.
You can edit prior-year wraps instead of recreating them from scratch.
Does the wrap include COBRA, FMLA, or Section 125 language?
Yes.
Language is automatically included or adjusted based on your inputs (e.g., employee count, coverage selections, Section 125 elections).
Can Monark generate benefit guides or booklets?
Benefit guides are on the roadmap. ERISA wraps are available today.
Carrier Representative Questions
What if I don’t handle a coverage type?
You can ignore that coverage tab and submit offers only for the coverages you support.
Can I edit an offer after submitting?
No.
Once submitted:
- Offers are locked
- Brokers must request revised submissions
Always review carefully before submitting.
Can multiple reps from my carrier respond?
Yes.
Each rep receives their own magic link and submits independently.
Can I see other carriers’ offers?
No.
Carrier reps can only see RFPs sent to them and their own submitted offers.
Employer Questions
Do my employees see this proposal?
No.
Proposals are employer-only. Employee enrollment happens later.
What if I need more time to review?
Ask your broker to:
- Extend the proposal link expiration
- Resend with a new deadline
- Schedule a review call
Can I change selections after submitting?
Not directly.
Contact your broker immediately if changes are needed.
Data, Privacy & Security
Who can see my data?
Access is role-based:
- Brokers: Accounts, proposals, and RFPs they manage
- Carrier reps: Only RFPs sent to them and their own offers
- Employers: Only their own proposal
Is individual employee data shared?
No.
- Carriers see group-level summaries only
- Individual member data is never shared
How is my data protected?
- Encrypted links and sessions
- Role-based access control
- No password storage
- Activity logging
Troubleshooting
I didn’t receive an email
- Check spam/junk
- Confirm the email address
- Ask the sender to resend
The link isn’t working
- Confirm it hasn’t expired
